One thing I didn’t fully understand at first was how closely the service and parts sides of a truck dealership depend on each other.
A technician can identify the problem correctly, but the job still doesn’t move if the wrong component is requested. Parts can find exactly what’s needed, but that doesn’t help much if the information coming from service is incomplete.
At MHC Kenworth, I learned that a lot of wasted time can be avoided simply by making the handoff between the two sides clearer.
I Try to Bring More Than a Part Description
Walking up and saying:
I need that valve for this Kenworth.
isn’t exactly a great starting point.
When possible, I bring useful identifying information.
That can include:
- VIN
- Truck model
- Relevant configuration
- Existing part number
- Component location
- Clear description
- Photo when useful
The better the starting information, the less guessing everyone has to do.
I Don’t Assume Similar Trucks Use Identical Parts
Two Kenworth trucks can look almost identical and still have differences that matter.
That’s why I try not to rely only on:
We used this part on the last one.
Previous experience is useful, but the current truck still needs to be verified.
I Explain What I’m Trying to Accomplish
Sometimes a little context helps the parts side understand what I’m actually looking for.
Instead of providing only a vague component name, I can explain where it is and what system I’m working with.
That can narrow the search much faster.
I Keep the Original Part When It Helps
When appropriate, the component being replaced can provide useful information.
It may have:
- Part numbers
- Manufacturer markings
- Labels
- Physical differences
- Connector details
- Other identifying features
A dirty old component can sometimes answer a question faster than a long description.
I Learned to Watch for Superseded Numbers
This confused me early on.
I’d have a number in front of me, but the current information showed something different.
That doesn’t automatically mean the search is wrong.
A previous number may have been replaced by a newer one.
Now I ask:
Is there a current replacement for this number?
instead of assuming the exact old number must still be available.
Identification Comes Before Availability
I try to keep these as two separate questions.
Question One
What is the correct component?
Question Two
Where can we get it?
Checking availability for the wrong part doesn’t move the job forward.
I’d rather spend a little extra time confirming identification first.
I Don’t Treat “Not Here” as the End
If the correct component isn’t immediately available at the current location, there may be other possibilities to check through the appropriate MHC processes.
The important thing is keeping the status clear.
I want to know whether the part is:
- Available locally
- Being sourced
- Expected later
- Replaced by another current number
- Otherwise waiting on additional information
“Waiting on parts” can mean several very different things.
I Give Service a Clear Status
If I’m communicating parts information back to someone working on the truck, I try to avoid vague updates.
Instead of:
We’re looking for it.
a useful status is closer to:
The component is identified. Availability is being checked.
or:
The original number has a current replacement, and we’re verifying the correct option.
Now everyone knows where the process actually stands.
I Update People When the Situation Changes
If something was expected today and that changes, the old information shouldn’t continue circulating.
The same applies when a part becomes available sooner than expected.
A short update can prevent service from planning around information that’s no longer true.
I Learned Not to Interrupt Constantly
When a part is already being researched or sourced, asking for an update every five minutes doesn’t necessarily make it arrive faster.
If there’s no reason the situation should have changed yet, I let the process work.
For something time-sensitive, I agree on when it makes sense to check again.
I Try to Think Ahead During Disassembly
Sometimes additional items are clearly going to be needed once a job progresses.
When appropriate, identifying those needs early can save another stop later.
I ask myself:
What becomes accessible during this work?
What obviously needs replacement?
Is there anything else required to complete the job correctly?
The goal isn’t to request unnecessary parts.
It’s to avoid discovering an obvious requirement at the very end.
Returns Taught Me to Verify More Carefully
A wrong component doesn’t create work only for the technician.
Someone has to:
- Stop the job
- Identify the mistake
- Find the correct part
- Handle the incorrect item
- Update the timeline
That made me appreciate how valuable a quick verification can be before the part ever reaches the truck.
I Keep Questions Specific
If something doesn’t match, I don’t just say:
This isn’t right.
I identify what is different.
For example:
The connector on the original component is different from the one on the replacement.
or:
The number matches the previous record, but this truck has a different configuration.
Specific differences are much easier to investigate.
What Usually Creates Unnecessary Delays
I’ve noticed a few recurring problems:
❌ Incomplete truck information.
❌ Identifying components only by appearance.
❌ Assuming a previous part automatically fits the current truck.
❌ Searching availability before confirming identification.
❌ Vague status updates.
❌ Not communicating when expected availability changes.
❌ Waiting until the end of the job to identify obvious additional needs.
My Parts-to-Service Checklist
Before considering the handoff clear, I check:
✅ Correct truck information.
✅ Component clearly identified.
✅ Existing number when available.
✅ Current replacement or supersession checked.
✅ Configuration differences considered.
✅ Availability checked after identification.
✅ Current status communicated.
✅ Any changes communicated quickly.
The Handoff Matters as Much as the Search
Working around MHC Kenworth taught me that parts and service aren’t really separate once a truck is in the shop.
One side needs accurate technical context.
The other needs accurate component information.
When those details move clearly between both sides, jobs move much more smoothly.
Provide enough information.
Verify the component.
Separate identification from availability.
And when something changes, update the people who are planning around it.
A good handoff can save far more time than trying to rush the individual steps.
